Performs administrative duties for the executive team. Manages the executives' (Chairman of the Board, Director of Government Affairs and Sr. Manager of Government Relations) schedule, arranging appointments, travel, meetings, conference calls, etc. Work requires some analysis and use of initiative and independent judgment with frequent access to confidential and highly complex information. Is knowledgeable of corporate policy and is often called upon to interpret and communicate the executives intent to other managers. This professional shall take general ownership of the entire office to ensure a consistently professional, polished, high quality work space.  Ability to take initiative and work with building maintenance, cleaning crews, or other outside contractors to ensure supporting tasks are completed to maintain appearances in the office. 

Bilingual English and Japanese skills (speaking and writing) is highly desirable.

Essential Duties and Responsibilities

  • Provides administrative support to the executive team.  Requires in-depth knowledge of company operations, policies, and procedures.
  • Responds to and initiates to details of a highly confidential and critical nature.
  • Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
  • Prepares presentation materials for Advisory Board meetings.
  • Makes high level contacts of a sensitive nature inside and outside the company.  Requires working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries.
  • Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors.  Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

Prerequisites -

Education:

Associate degree in business or secretarial science (two year program); bachelor's degree in business or liberal arts desirable.

Experience:

Requires has ten or more years of experience in administrative/executive secretarial positions in a corporate setting.

Certifications, Licenses, etc:

None required.

     

Specialized Knowledge and Skills -

Language Skills:

English and Japanese - both speaking and written. Ability to read/write English, verbal communication a must.

Mathematical Skills:

College level math skills (addition, subtraction, division, multiplication, basic algebra)

Reasoning Skills:

Detail oriented. Thorough knowledge of administrative practices and procedures; knowledge of international protocol desirable. Excellent communication and interpersonal skills. Must have working knowledge of presentation and spreadsheet software. Professional appearance and presentation. Able to handle highest level confidential information.

Computer and/or Technical Skills:

Microsoft Windows Operating Systems, Microsoft Office (Word, Excel, Power Point, Outlook), mastery of internet skills (conducting searches and analysis of data using search engines, Google, etc.), ability to learn, own, and manage office audio, visual technology in the D.C. office including the Crestron and Polycom equipment for tele-conferences and meetings.
