Job Title:

Executive Assistant

Summary -

Performs administrative duties for the executive. Manages the executive’s schedule, arranging appointments, travel, meetings, conference calls, etc. Work requires some analysis and use of initiative and independent judgment with frequent access to confidential and highly complex information. Is knowledgeable of corporate policy and is often called upon to interpret and communicate the executives intent to other managers.

Experience or ability to managing and planning large events like Sales Meetings, Conferences, etc. for large groups of people.  This includes dealing with hospitality hotels, catering, contracts, AV, and other vendors and personnel required to coordinate a large-scale event or show.

Managing supply budget, ordering "swag" for partners, customers, etc.  Organizational skills and ability to work with high stress is required.  Ability to keep confidentiality in this role is a requirement.

Essential Duties and Responsibilities -

_25_% Provides administrative support to the executive.  Requires in-depth knowledge of company operations, policies, and procedures.

 25    % Advanced knowledge of Microsoft Powerpoint, Word and Excel.  Candidate will be required to execute; with short notice at times, on customization of presentations, financial reports and Word documents. 

_10_% Responds to and initiates to details of a highly confidential and critical nature.

_25_% Manage and coordinate large events and meetings; negotiating and providing budgetary analysis from third party vendors including hotels, transportion, restaurants, meeting space, etc._10_% Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.

_5_% Prepares presentation materials for board of director meetings.

_5_% Makes high level contacts of a sensitive nature inside and outside the company.  Requires working with senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other dignitaries.

Prerequisites -

Education:

Associate degree in business or secretarial science (two year program); bachelor's degree in business or liberal arts desirable.

Experience:

Requires five years of experience in administrative/executive secretarial positions in a corporate setting.

Certifications, Licenses, etc:

 Microsft Office, PowerPoint and Excel Certifications a plus.

Language Skills:

Ability to read/write professional business English, verbal communication a must.

Mathematical Skills:

Basic Math

Reasoning Skills:

Detail oriented. Thorough knowledge of administrative practices and procedures; knowledge of international protocol desirable. Excellent communication and interpersonal skills. Must have working knowledge of presentation and spreadsheet software. Professional appearance and presentation. Able to handle highest level confidential information. Excellent customer service skills and professional business manners are required

Regularly required to sit and occasionally required to stand. Occasionally required to lift and/or move up to 25 pounds.

Stress can occur when attempting to meet deadlines while supporting several executives simultaneously.

Travel:

Travel periodically required.  Less than 10%.  .
